Terms and Conditions

1. Registration After you have agreed to the safari arrangements, you will pay a deposit of 30% of the total safari cost which we then use to confirm your travel arrangements.   The balance of your safari cost is to be paid 60 days before the start of the safari. If you are booking your safari within 60 days then we will require 100% of the total safari cost prior to your arrival.

2. Payments Your payments may be made in one of the following ways:  a bank transfer from your bank to ours; a certified bank draft to our benefit; a charge to your credit card.  For credit card payments, we accept Visa, MasterCard and American Express and we also receive payment through Paypal accounts.  The payment process will be explained in more detail after the planning of your safari is complete and you have accepted our proposal.

3. Cancellation and Refund Policy: Cancellations are only effective upon our receipt of written

notification, signed by the client.

50 – 90   days prior to safari start - 50% of the total safari cost retained by us

49           days or less prior to safari start    100% retained by us

Should you fail to join a tour or join it after departure or leave it prior to its completion, no tour fare refund will be made. There will be no refunds from Ecological Wilderness Adventures for any unused portions of the tour. The above policy applies to all travel arrangements made via Ecological Wilderness Adventures.

4. Insurance: It is a condition of booking that the sole responsibility lies with the guest to ensure that they carry the correct comprehensive travel and medical insurance to cover themselves, as well as any dependants and traveling companions for the duration of their tour to Africa. This insurance should include coverage in respect of, but not limited to, the following eventualities: cancellation or curtailment of the safari, emergency evacuation expenses, medical expenses, repatriation expenses, damage, theft or loss of personal baggage, money and goods. Ecological Wilderness Adventures will take no responsibility for any costs for losses incurred or suffered by the guest, or guest's dependants or traveling companions, with regards to, but not limited to, any of the above mentioned eventualities. Guests will be charged directly by the relevant service providers for any emergency services they may require, and may find themselves in a position unable to access such services should they not be carrying the relevant insurance coverage.

5. Itinerary amendment: Although every effort is made to adhere to itinerary, it should be noted that occasionally routes, lodges and camps may be changed while on safari as dictated by changing conditions. As example such conditions may be brought about by seasonal rainfall on bush tracks or “airfields” in game areas, by game migrations from one region to another, or airline or other booking problems. Ecological Wilderness Adventures shall not be held responsible for such itinerary changes.  We reserve the right to substitute campsites, hotels and/or lodges and to alter the itinerary should this be considered necessary or advisable.

6. Inside the parks & reserves: Please be aware that our safaris may take you into close contact with wild animals. Attacks by wild animals are rare, but no safari into the African wilderness can guarantee that this will not occur. Ecological Wilderness Adventures shall not be held responsible for any injury or incident on the safari. Please note that many safari lodges and camps are not fenced and that wildlife does move freely in and around these areas. Always follow the safety instructions from the lodge or camp staff with regards to moving to and from your tent and while on game activities throughout your safari.

7. Air Transportation: You should book your International ticket from your local travel agent.

8. Taxes: The tour program includes hotel taxes as imposed by city and state governments, entrance        fees to National Parks and Game Reserves.

9. Not Included in Quoted safari  Rates: Cost of obtaining passports, visas, travel insurance, excess baggage charges, items of a personal nature such as drinks, laundry, unless stated on the Itinerary, communication (calls, faxes, emails, etc.) , international airport departure tax (to be paid in U.S. dollars cash), deviations from the tour, and gratuities to safari guides, Camping crew & Hotels staffs

10. Complaints.  In the unlikely event that a tour member should have a dispute whilst on safari, the matter must immediately be brought to the attention (and put on record) of the local representative, hotel, lodge or camp management. It is likely that the tour members’ complaint will be satisfactorily resolved immediately.  If, however, this is not the case and the tour member wishes to pursue the matter on their return from safari, it is essential the complaint be communicated in writing to Ecological Wilderness Adventures within 14 days at the end of the tour quoting tour reference, destination and departure, and date. Ecological Wilderness Adventures cannot accept responsibility of any complaints which are not notified entirely in accordance to this clause.

11. Force Majeure "Force Majeure" means any circumstances where the execution of contractual services is prevented            or affected by factors beyond the reasonable control of Ecological Wilderness Adventures including, but not limited to acts of God, war and threat of war, civil strife, industrial dispute, terrorist activity, natural disasters such as weather conditions, earthquakes, volcano eruptions, fire, governmental actions and other unexpected occurrences.

In these circumstances, we shall not be liable to pay any compensation or otherwise be responsible for any expenses or losses the client may incur where we are forced as a result to cancel, delay, curtail or change the clients’ arrangements in any way or where the performance or prompt performance of our contractual obligations is prevented or affected.

Ecological Wilderness Adventures also reserves the right to accept or decline any traveler on any trip, before or during the trip should such person's mental or physical condition impede the operation of the service or the rights, welfare or enjoyment of other travelers. In this case a refund of the unused land services is the limit of Ecological Wilderness Adventures liability to the traveler removed.

We also reserve the right to alter or modify the itinerary of any tour or relocate accommodation if schedules, security matters and/or events beyond our control make such explained above

12. Liabilities and Insurance: Although every possible care is taken to safeguard you and your property, Ecological Wilderness Adventures acts only as an agent of the passenger in all matters relating to tours and accepts no responsibility for any personal illness, injury, accident, death, flights delay, any kind of loss, damage or irregularity of any kind, which may be occasioned by reason of any act or omission beyond its control, including without limitation, any act of negligence or breach of contract of any third party

13. Photography Ecological Wilderness Adventures reserves the right to make use of any photography or film taken         on your trip by our staff for promotional purposes without payment or permission. Where a client makes available to   the Company photographs of their own, Ecological Wilderness Adventures reserves the right to make use of such    photos.

14. Consent The payment of a deposit or any other partial payment for a reservation constitutes consent to all       provisions of the conditions and general information enclosed herewith. The terms under which you agree to take these    trips cannot be changed or amended except in writing signed by an authorized officer of the Ecological Wilderness Adventures.

How far in advance is it best to book a safari?
This depends on the time of year you want to come. Generally the most popular times are when most people go on vacation, which is June-August and December-March. We often take bookings for these periods two years in advance, so availability starts to get difficult if you reserve less than eighteen months in advance. Of course, if you are flexible with places to stay and activities, we can design a safari around what is available. At other times of year booking a year from six months in advance is best.


What is the weather like in Tanzania?
The Tanzanian climate is tropical on the coast, on the islands, and in Selous. It is temperate inland and in the other parks. Tanzania has two distinct annual rainfall patterns, which prevail in different areas of the country: in the south, west, south-west and central regions of Tanzania the rainfall is unimodal - there is one rainy season, which occurs between December and April. In the northern and eastern regions of the country the rainfall is bimodal, with two rainy seasons. It can be difficult to predict, but the 'short rains' or usually occur from October to December, and the 'long rains' usually last from about March to May.


What do you recommend for clothing while on safari?
Once you have confirmed your safari we will mail you the pre departure information package that will include all information’s relevant to your safari or you can quickly have a look on packing list page e.


Do you book international flights?
We can book all air charters and scheduled regional flights, but we do not book trans-continental or international travel. Please contact your local travel agent for these arrangements.


What are the accommodations like on Safari?
Most of the lodges we utilize have teak furniture, tile bathrooms en suite, and in ground pools. In short, it is hard to oversell the luxury of the typical safari lodge located throughout Sub Saharan Africa. The safari lodges located in Africa are truly one of the best kept secrets of the resort world. All of the lodges we frequent have safe drinking water from deep wells, full bathrooms en suite with hot and cold running water, or private chalets with all the amenities of a fine hotel. All have electricity, most from diesel powered generators..


What is the food like while on safari?
Most safari camps & lodges offer a full three meal a day menu. You will be provided with fantastic full course meals prepared by excellent chefs. Wine and local beers are served with all meals. All meals include fresh vegetables and meats. A cooler box is usually on each vehicle which allows you to stop for a cold drink while watching a famous African sunset. If you have any special dietary needs or wishes we ask you to make us aware of this at the time of booking and a special menu will be prepared to accommodate your needs.


Does East Africa have the Big Five?
Yes, although it can be hard at times to see rhino, given their scarce status and shy nature. The best area so far is Ngorongoro Crater, but there is another Rhino population growing in the southern Serengeti around the Moru area .


Will I be able to recharge my camera equipments?
Yes, in most safari lodges and hotels you can always charge your batteries. Most of lodges in the bush only have electricity running from 6 pm to 11pm, so we advise our clients to bring car charges as this will help. At the mobile camps there will be also generators.


What type of camera gear should I take?
A good quality digital camera is a must. On average, we see clients taking between five to nine hundred pictures while on a typical safari. We recommend taking sufficient memory sticks to accommodate these numbers. We also recommend an extra battery as well. There is electricity via a generator in every camp or lodge. “We recommend being cautious in regards to recharging electronic equipment’ and suggest that you bring a charger that will work with the safari vehicle”.


What forms of payment do you accept?

Yes we do accept credit cards but there will be a minor surcharge for processing fees.


What are the luggage restrictions in Tanzania?
Most domestic carriers have a per passenger luggage limit of 20kg, however the smaller (size of aircraft not business) carriers have a 15kg limit. For the smaller carriers and for your safari vehicles, the luggage must be in soft bags. If you are on an extended trip, most of the urban hotels will store your excess luggage – sometime for a fee. Some carriers will make allowance for extra photographic equipments, but if you exceed allowance, in most cases there will be an extra fee assessed.


Do you provide flying doctors insurance?

Yes, we always include the temporary flying doctors insurance as it is very important in case of anything happens.


 

Can I bring my children on safari in Tanzania?

Yes. Many lodges in Tanzania do accept children and children of virtually any age are welcome on game drives because in East Africa all of the game drives in the national parks are done in closed vehicles with pop-up roofs. We do recommend if you are traveling with children that you travel by air as opposed to by road because distances by road are long, the conditions bumpy and the whole experience is quite trying when traveling with young ones


Is it safe to drink the water?

No. We recommend that you drink bottled water which is readily available at all of the lodges/camps and hotels. Most always in the safari vehicle there will be bottled water and soft drinks.


Do I get to meet the local people?

Yes, you will meet with local people in the town and in the parks. When stopping at villages on the way, you may encounter children running up to you and trying to chat with you, as they are just as intrigued with you as you are with them. Just have a good time with them. If you choose to visit local villages and spend more time learning, we arrange special trips for that purpose just let us know at the time of booking your trip.


What is the local currency?

The unit of currency is the Tanzanian Shilling, but we recommend instead of exchanging your money that you rather carry small denominations of US Dollar cash with you. Ensure that any US currency you bring over is post-2000: pre-2000 US Dollars are not accepted due to a large number of counterfeit notes in circulation worldwide. Major credit cards are accepted at many of the larger lodges and hotels, but should only be used as a back up plan because power failures or credit card machine errors are not uncommon


Is there a dress code?

There is no set dress code on safari in Tanzania. However, it is a conservative culture and at most lodges you will want to at least wear long trousers to dinner. Very revealing clothing is not recommended, especially in Moslems areas like Zanzibar, Lamu and Mombassa


What kind of activities can one do on safari?

This varies greatly depending on where you are traveling. In the national parks, one goes on game drives during the day in closed vehicles with pop-up/hatches roofs, but no night drives or walking are permitted for safety reasons. In the private conservancies, many lodges offer both day and night drives as well as safari walks. Game drives in the private reserves are also sometimes in open vehicles


What type of safari vehicle do you use?

We use only 4 x 4 Land Cruisers or Land Rovers as your safari vehicle. “Minivans are sometimes used only for transfers between airport, hotels and some lodges”


When is the best time to visit Tanzania?

For game viewing, the best time to visit Tanzania depends on your priorities. Much of Katavi National Park is accessible only during the dry season (June to mid-October), and this is also the best time to visit. In the Serengeti, the wet season is the best time to see the enormous herds of wildebeest, though the migration patterns vary and are difficult to predict. The dry season is best for seeing predators as they gather along the river and water courses. The best months for climbing Mount Kilimanjaro are from August to October and from January to March. Tanzania is a year-round birding destination boasting over 1000 species, but it is particularly good at the height of the northern hemisphere's winter (December to February), when some 160 species of migratory birds make their way south

“The easiest entry for access to your safari is through Kilimanjaro Airport; however, you can also fly to Dar es salaam, Nairobi or Arusha. There are connecting flights from Dar es salaam and Nairobi to Arusha - the starting point of most safaris in Tanzania”

If you have selected a private mobile camp for your safari, we will take you to the wilderness in great style.  We use camp sites reserved exclusively for you and which are selected according to the seasons, climate and wildlife movement.  The private mobile camp provides a safari experience away from the large tour groups or crowded lodge areas.  We also will include small permanent camps for the day when your mobile camp is moving to a new location.

Game Viewing Safari, Africa Wildlife

Observing wildlife is the main reason most people come on safari. Therefore, game viewing with Ecological Wilderness Adventure is unlimited. There is the option of the traditional early morning and evening game drives, an all day excursion, or any schedule you desire. Much depends on availability and position of the wildlife and the guide’s suggestions, as well as the mood of the group. The guide is totally flexible and doesn’t follow a stringent timetable, it’s your safari.

Vehicles:

Ecological Wilderness Adventures has both Land Rovers and Land Cruisers in our fleet. They hold a capacity of four and six passengers respectively.

These vehicles have been specially adapted for safari. The seats have been moved back to give more legroom and 3 large hatches have been fitted in the roof for optimum game viewing; one over the driver’s and front passenger’s seats; one over the back seat and one in the rear.

Since quite a bit of time is spent in the Land Rover, other adaptations have been made to ensure traveling comfort such as canvas seat covers and cushions and pockets for water bottles, cameras and books. There is a fridge in each vehicle for essential cold drinks. Each Land Cruiser carries a comprehensive first aid kit and has radio communication with other Ecological Wilderness Adventure vehicles and base camps.

Walking and Cultural encounters:

Safari life has many facets. The wildlife, landscapes and people all combine to produce a unique experience. For many, getting out of the vehicle and walking in the African bush is the ultimate. Our guides love to walk and will show you the smaller things that play an important role in the ecology of an area. The sounds, smells and textures of the savannah or woodlands add another dimension to your safari. There are several areas where we love to explore and these include the Ngorongoro Highlands, Lake Eyasi and Tarangire.
